Overview
Video feedback allows you to communicate ideas verbally without scheduling a meeting. Instead of typing lengthy explanations, you can record your screen with optional camera and microphone to demonstrate issues, walk through designs, or provide detailed feedback in a more personal and efficient way.
Workflow's built-in screen recorder works directly in your browser—no additional software installation required. Recordings appear in the document's Comments tab where team members and guests can watch them alongside other feedback.
What you'll need for this to work well
Before recording video feedback, ensure you have:
Browser permissions: You'll need to grant permissions for screen capture, and optionally camera and microphone access
Supported browser: Chrome, Firefox, Safari, or Edge (Internet Explorer is not supported)
Recording permissions: Team members and creatives can always record videos. Guests can record only if your workspace administrator has enabled guest video recording in Display settings
Comment permissions: You must have permission to leave comments on the document
Compatibility
User types:
✅ Team members and creatives: Can always record video feedback
✅ Document guests and project guests: Can record only if the workspace's "Allow guests to leave video feedback" setting is enabled
❌ Anonymous guests: Cannot record video feedback
Browser support:
✅ Google Chrome (version 25+)
✅ Mozilla Firefox (version 28+)
✅ Microsoft Edge (version 79+)
✅ Safari (version 12.1+)
❌ Internet Explorer (not supported)
Video format: Recordings are saved as WebM format on Chrome, Firefox, and Edge, or MP4 format on Safari. All modern browsers can play back these recordings within Workflow.
Before you begin
Recording duration limit: Recordings are limited to 10 minutes maximum. When you approach this limit, a countdown timer displays the remaining seconds. Plan your recording accordingly or break longer feedback into multiple recordings.
Best practice: Before recording, outline the key points you want to cover. This helps you stay within the 10-minute limit and makes your feedback more actionable.
Important notes:
If comments are paused on the document, the record button will be disabled
Recordings cannot be moved or copied to other documents after upload
Screen capture permission is required—if you deny the browser prompt, recording won't start
Record video feedback
1. Access the video recorder
Open the document where you want to leave video feedback
Look for the record icon in the center of the top navigation bar
Click the record icon to open the Video settings dialog
If you don't see the record icon, either comments are paused on this document, or you don't have permission to record videos. Contact your workspace administrator if you need recording access.
2. Configure recording settings
In the Video settings dialog, choose your recording options:
Select recording mode from the dropdown:
Screen and Camera: Records your screen with your camera feed visible in a circular bubble
Screen only: Records only your screen without camera
Toggle camera on/off by clicking the camera icon button
Select your camera from the camera dropdown if you have multiple cameras
Toggle microphone on/off by clicking the microphone icon button
Select your microphone from the microphone dropdown if you have multiple microphones
Check the microphone volume indicator to confirm your mic is working
Camera positioning tip: If using camera mode, position your camera feed before starting the recording. Once recording begins, you can drag the circular camera bubble to reposition it on screen.
3. Grant browser permissions
Click Start recording
Your browser will prompt you to select which screen or window to share—choose the appropriate option
If you enabled camera or microphone, your browser may also prompt for those permissions—click Allow
Permission required: If you deny screen capture permission, the recording won't start. You'll need to grant permissions in your browser settings before trying again.
4. Start, pause, and stop recording
Once recording begins, you'll see the recording controls:
Timer: Displays elapsed time in mm:ss format
Pause/Resume button: Click to pause the recording; click again to resume
Stop button (pause icon at top): Click when you're finished recording
Camera bubble (if enabled): Drag to reposition your camera feed anywhere on screen
When you approach the 10-minute limit, the button displays a countdown (e.g., "45s left"). Recording automatically stops when you reach the maximum duration.
If your microphone is muted when recording starts, you'll see a warning toast: "Your microphone is muted!" The recording continues but won't capture microphone audio.
5. Preview and review your recording
After clicking the stop button, the Add recording dialog appears:
Preview: Watch your recording in the video player to ensure it captured everything correctly
Choose one of three options:
Add recording: Upload the recording to the document
Download (arrow icon): Save the recording to your computer as a .webm or .mp4 file
Reshoot (refresh icon): Discard this recording and start over
Pro tip: Download a copy of important recordings before uploading them. This gives you a backup in case you need to share the recording outside of Workflow.
6. Upload and share
Click Add recording
The button displays upload progress as a percentage (e.g., "45%")
Once uploaded, the recording appears in the document's Comments tab as a video message
Success! Your video feedback is now available for all document reviewers to watch. The recording appears in the Comments tab with your name and "added a video message" label.
Verify the recording
To confirm your recording was added successfully:
Open the document's sidebar (if not already open)
Navigate to the Comments tab
Look for your recording message showing "[Your name] added a video message"
Click on the recording to play it and verify the content
Other team members and guests with document access can now watch your video feedback from the Comments tab.
Recording type options
Screen-only recording
Perfect for demonstrating UI issues, reviewing designs, or walking through workflows without appearing on camera:
Select Screen only from the recording mode dropdown
Toggle camera off using the camera icon button
Ensure microphone is on to narrate your feedback
Proceed with recording
Screen and camera recording
Ideal for more personal feedback or when facial expressions and body language add context:
Select Screen and Camera from the recording mode dropdown
Toggle both camera and microphone on
Test your camera feed in the preview before recording
After starting, drag the camera bubble to your preferred position
Proceed with recording
Reshoot workflow
If you make a mistake or want to improve your recording:
In the Add recording dialog preview, click the refresh icon (Reshoot Recording button)
The current recording is discarded
You're returned to the recording state to start a new recording
Record your improved version

Limitations

No copy link option: Unlike other comment types, recording messages don't have a "copy link" option
Browser compatibility: Internet Explorer is not supported; older browser versions may have limited functionality
Storage consumption: Video recordings consume workspace storage. Paid plans include additional storage options ($5/100GB for video storage)
